Executive Assistant 

As the Executive Assistant (EA) to our CEO, Sean Doherty, you will be essential to Wurl meeting its goals by driving increased CEO effectiveness.   You will be the primary point of contact, serving as the face of the office of the CEO with internal Wurl employers and leaders in the streaming media space.   The ideal candidate will have demonstrated experience ideally supporting C-suite as a highly strategic thought partner, force multiplier and extension of the CEO.  

You are a sharp, experienced EA or Chief of Staff who enjoys solving complex problems and is motivated by flawless execution and excels in behind-the-scenes supporting roles.  This is an opportunity to be part of a team that is passionate about their product and working to make a meaningful difference in one of the fastest growing companies in Silicon Valley.  While this role will not be fully onsite in the office, it does require being onsite in our Palo Alto headquarters as needed.

Responsibilities:

  • Provides high-level administrative support and assistance to the CEO and/or other assigned leadership staff.
  • Arranges travel and accommodations for executives.
  • Create high quality documents, spreadsheets, and presentations as needed
  • Manage the coordination and logistics of both internal and external meetings
  • Managing CEO calendars, including scheduling of calls, travel, and meetings
  • Initiating outgoing calls and serving as first point of contact for all incoming inquiries, directing communication appropriately
  • Taking notes at key meetings and distributing well-crafted minutes
  • Assisting in the preparation of regularly scheduled reports and presentations
  • Conducting in-depth research projects, including competitive tracking, and presenting to staff in a comprehensive and succinct format
  • Demonstrating composure, professionalism and flexibility, regardless of competing priorities
  • maintaining confidentiality of all company activities and private company information
  • Build and foster strong relationships with the CEO's key contacts, acting as a proxy for communications and project leadership.
  • Triage and manage the CEO's workflow, delegating and/or completing work on his behalf.
  • Provide support for Board meetings, assisting with logistics, coordinating stakeholders across times zones, and prepping the CEO to deliver an engaging experience.
  • Potential email inbox oversight.
  • Performs other related duties as assigned.

 Qualifications:

  • 5+ years of experience supporting a C-level Founder
  • Experience working in high-growth stage tech company of 120+ FTEs and scaling
  • Excellent time management skills and ability to prioritize multiple requests. 
  • Assertiveness, proactivity, professionalism, and confidence
  • Highly adaptable and independent
  • Excellent verbal and writing skills, great computer skills
  • High sense of urgency with an innate drive to respond and take action quickly.
  • Polished, professional demeanor with the ability to effectively communicate across the organization and with external stakeholders.
  • Highly detail-oriented multitasker with superb organization skills.
  • Exceptional written and verbal communication skills.
  • Maintain a positive attitude and willingness to work with all team members.
  • Ability to work independently and multi-task in a fast-paced team environment
  • Discrete concerning confidential or sensitive information
  • Must be able to effectively communicate with all levels of internal and external contacts
  • Extremely proficient with Macs or similar software with the ability to learn new or updated software

 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
